Orbis Sign essentials

Concise guides to the core operational journey. The options available can depend on your workspace role, plan and configured delivery services.

Accessing your account

Orbis Sign account access is currently provided through an invitation from a workspace owner or administrator. Follow the invitation once, create the requested credentials, then use Log in. Keep invitations and credentials private. If an invitation is invalid, expired or already used, ask the person who manages your workspace to issue a new one.

Send a document

  1. In the application, open Documents and choose New Document.
  2. Upload the supported PDF and give it a clear title.
  3. Choose sequential signing if people must sign in order, or parallel signing if they can act at the same time.
  4. Continue to the editor, add all recipients and required fields, then review the document before choosing Send Now.

Available email or SMS delivery depends on the services configured for the workspace. Confirm names, addresses and telephone numbers before sending; a signing invitation can expose the document to whoever controls the destination channel.

Add recipients and fields

Use the document editor to add each recipient and place signature, initial, date or text fields on the PDF. Assign each field to the intended recipient. For sequential signing, check the displayed order before sending. Orbis Sign requires at least one signer before a document can be sent.

Only use contact details you are entitled to use. For a deed, witness, filing or other formal process, first check whether the ordinary workflow is suitable. See Electronic Signatures.

Sign a document

  1. Open the recipient-specific invitation link in a supported web browser.
  2. Complete the one-time-code step if the sender required it.
  3. Review the document and electronic-signing disclosure before consenting.
  4. Complete the fields assigned to you and submit the signature.

A recipient does not need an Orbis Sign account for that signing journey. Do not forward the link or code. If the document, sender or request is unexpected, stop and verify it with the sender through a separate trusted channel.

Track and download

Open a document from Documents to view its overall status, signer statuses and selected activity events. Outstanding documents can be resent to pending recipients or cancelled. In a sequential workflow, the next recipient is notified after the previous recipient completes.

For a completed document, authorised workspace users can download the signed PDF and a separate HTML audit certificate. Save both according to your organisation's records policy. The audit certificate is supporting evidence, not a guarantee of identity or legal validity.

Use templates

Templates let authorised users prepare a reusable PDF and field layout. Open Templates to create, search, view, use or delete templates. Choosing Use Template creates a new document copy; check its recipients, title and fields before sending.

Account and billing

Account Settings shows your name, email or username and workspace role. Contact support for a name change. Where billing is enabled and your role permits it, Billing & Subscription shows the current plan, usage, status and period end. The Manage Billing action opens the hosted billing service for eligible paid accounts.

The Orbis Sign plan is £8.99 per month and includes up to 500 documents for signature each month. Subscription and account terms are confirmed when the account is activated. The availability of particular online payment or billing-management options depends on the account configuration. See Pricing and the Terms.

Use the contact form and choose technical support, or email . Include the document ID, the page or action involved, the error message and what you already tried. Do not include your password, one-time code, full signing link, signature, or confidential document contents. A public support response-time commitment is not currently stated.
