Connect signing to engagement acceptance
Consultancies, accountants, surveyors and other advisory businesses often need signatures on engagement letters, statements of work, change controls, project acceptances and routine authorities. The important control is the connection between internal approval and the document sent—not simply collecting a mark.
Orbis Sign lets teams upload a supported PDF, assign fields, route recipients sequentially or in parallel and follow draft, pending and completed states. Shared templates can preserve field placement for recurring formats, but every use still needs the correct client, scope, fee basis and current terms.
A useful operating pattern
- Accept: complete conflicts, client acceptance, credit and other professional checks.
- Approve: settle scope, assumptions, fees, authority and document version.
- Execute: assign only the required fields and choose an intentional route.
- Verify: inspect the completed document and resolve anomalies.
- File: retain it with the engagement approvals and apply the relevant schedule.
Where judgement remains essential
A signing event cannot show that a client received regulated advice, understood a complex limitation, or that a signatory had authority. Provider-reported opening information does not prove reading. Required fields can prevent an assigned blank at completion but cannot test whether the answer is accurate.
Define escalation for unusual entities, vulnerable clients, powers of attorney, guarantees and documents requiring witnessing. Review the electronic-signature process guide and audit-trail checklist with risk and compliance owners.
This is general practical information, not legal advice. Electronic execution is not suitable for every document. Check the law, agreed formalities and your organisation’s requirements for the transaction.
